Common questions
Is there a minimum spend or contract?▾
No minimum, no contract. Use as much or as little as you want. Most clients hover between $2-15K/month. We earn the relationship every month.
What are the payment terms?▾
Net-30 from invoice date. First-time accounts may be net-15 for the first 90 days while we establish history. Volume discounts available above $25K/month.
Can different departments have different spend limits?▾
Yes. Per-trip limits per traveler. Department tags on each member. Some clients cap non-executive travelers at $200/trip and exec travelers unlimited. Your call.
Can my EA book on behalf of executives?▾
Yes — it’s a built-in admin feature. Admins (typically EAs) pick which traveler the booking is for, and the confirmation + ride details route to that traveler automatically.
What about international visitors / out-of-town VIPs?▾
We handle them via your account just like any other ride. Add their email as a traveler if they’ll book again, or just book on their behalf. Your invoice; their ride.
Do you sign NDAs / vendor agreements?▾
Yes — common for public companies and law firms. Send your standard agreement. We carry $1M commercial auto and $1M general liability with HLC Executive Transportation as the named insured.
What about expense-system integrations (Concur, Expensify)?▾
All bookings produce Square e-receipts that drop into Concur, Expensify, Brex, and Ramp via email-forwarding. Native API integration on roadmap for high-volume clients — ask if you need it.
