Terms of service

Plain-English terms that govern your booking with HLC Executive. When you confirm a booking, you agree to these terms and to our cancellation policy.

1.

Who we are

HLC Executive (“HLC,” “we,” “us”) is a Houston-based professional chauffeur service operating chauffeured sedans, SUVs, Cadillac Escalades, and passenger vans. Dispatch is available 24/7 at (346) 244-1386.

2.

Booking a ride

When you submit a booking through hlcexecutive.com you’re entering a contract for transportation services on the date, time, vehicle class, and route you specified. We confirm your booking by email and by assigning a booking reference (HLC-XXXXXX).

Instant-quote bookings (airport, point-to-point, hourly) are confirmed when you receive the booking reference. Roadshow and multi-day quotes are confirmed only after dispatch emails you a firm itinerary and you reply to accept it.

Pricing

Our posted prices are all-inclusive. The total you see on the review screen is the total you pay — it already includes chauffeur gratuity, fuel surcharge, any applicable airport fees, and tax. We do not apply surge pricing. We do not add service charges or “booking fees” at checkout.

Additional charges may apply only for circumstances caused after the booking is placed: stops you add during the ride, wait time beyond the grace period (see cancellation policy), tolls on routes not included in zone pricing, or cleaning fees for damage or excessive soiling. Any additional charge is itemized and sent to you by email before it’s captured.

Payment, authorization, and capture

Card processing is handled by Square, Inc.Card numbers are captured inside Square’s hosted card fields and are never seen or stored by HLC. We receive only a non-sensitive token, the last four digits, and the card brand.

When you confirm a booking we authorizeyour card for the full booking total — this places a hold but does not charge the card. The actual charge (“capture”) happens when your chauffeur marks the ride complete. If you cancel within the free window, the authorization is voided and no charge ever posts to your statement. Uncaptured authorizations are automatically released by Square after six days.

You authorize HLC to capture the total (plus any additional charges properly itemized under Section 3) upon ride completion. By signing the authorization box on the booking review screen you are providing an electronic signature with the same effect as a written signature on a card-present receipt.

5.

Electronic signature & verification

By signing the authorization box at booking you represent that (a) you are the authorized holder of the card being used, (b) the name you entered in the “Name on card” field matches the embossed name on that card, and (c) you have authority to incur the charge for the booking total disclosed on the review screen.

We retain the signed authorization, a timestamp of your submission, your browser’s IP address, the last four digits and brand of the card used, and the tokenized card reference from Square as a record of the transaction. This record is produced to Square and/or your card issuer in the event of a dispute.

6.

Your responsibilities

  • Provide accurate pickup, dropoff, contact, and flight information. Dispatch can’t reach you if the phone number is wrong.
  • Be ready at the scheduled pickup time. Grace periods are listed in the cancellation policy.
  • Treat the vehicle and chauffeur with reasonable care. You are responsible for damage beyond ordinary wear — cleaning fees range from $150 (interior soiling) to $500 (biohazard, pet-related, or smoking damage), billed at cost with photo documentation.
  • Comply with all applicable laws. We do not transport passengers or cargo in violation of federal, state, or local law, and we reserve the right to refuse or terminate service for unlawful conduct, violence, threats, or harassment of the chauffeur.

Our responsibilities

  • Arrive on time with a licensed, insured, background-checked chauffeur driving a clean, inspected vehicle of the class you booked.
  • Track your flight automatically on airport pickups and adjust arrival time to match your actual landing.
  • Maintain commercial auto liability insurance meeting or exceeding Texas TNC and chauffeured-transportation requirements.
  • Communicate proactively — night-before confirmation text, morning-of chauffeur introduction, and real-time updates on anything unexpected.
8.

Cancellations, changes, and no-shows

The full schedule is on the cancellation policy page. The summary: free cancellation up to 3 hours before an instant-quote pickup, up to 48 hours before a roadshow. Fees after that are tiered. We never charge beyond the trip total, and weather/force-majeure cancellations are always fully refunded regardless of timing.

9.

Limitation of liability

Our liability for any missed connection, delayed arrival, or service failure is limited to a refund of the amount you paid for the affected ride. We are not liable for consequential damages (missed flights, missed meetings, lost business) unless the failure was caused by our gross negligence or willful misconduct.

We recommend travelers departing on airline flights allow the TSA/airline-recommended buffer in addition to our quoted drive time. We’ll do our best to get you there early; we can’t control traffic, weather, or TSA lines.

10.

Disputes and chargebacks

If you believe a charge is incorrect, please call or email us first. We resolve every real billing issue within one business day and almost always faster than the 30-90 day chargeback process.

If you initiate a chargeback without contacting us, we respond to Square with the signed authorization, timestamps, vehicle GPS records, chauffeur’s arrival and completion confirmations, and our cancellation-policy language. Chargebacks filed as “service not rendered” for rides that were rendered, or “unauthorized charge” for cards matched to the cardholder’s name and signed authorization, are treated as fraudulent and reported accordingly.

11.

Privacy

We collect only the information needed to dispatch your ride and process payment: name, contact details, pickup/dropoff information, flight number (when applicable), signature, last four of your card, and Square payment reference. We do not sell or share this information with third parties except as required to fulfill the service (Square for payment, Resend for email delivery) or as required by law.

12.

Governing law

These terms are governed by the laws of the State of Texas. Any dispute not resolvable through good-faith negotiation shall be resolved in the state or federal courts located in Harris County, Texas.
